For Your Information Archives Utilization
a) ID requirements:Chinese citizens and organizations,after examination of legal identifications such as the letter of introduction(LoI),certificate of employment and ID card,can use open archives held in this Archive;in case of LoIs by units above country-level,the user can gain access to relevant non-open archives.
Foreign organizations and individuals, after making the booking 15 days in advance with LoIs from the inviting units in this City, can apply for relevant open archives.
b) A first-time visitor must accept examination of his or her identifications, and fill up an Application for Archives Utilization. The same Procedure will have to be re-followed by the user who comes after an interval longer than 10 days. In case of batch use f archives on one single subject, a one-week pre-arrangement must be made.
c) Things carried on the visitor must be deposited in the lockers provided by this Archives, and he or she is not allowed to carry into the reading room cases, bags, photographic equipment, food or inflammable & explosive articles, etc: cups will have to be left at the place designated.
d) In reading archives, the user must hold no more than 5 volumes at one time, upon return in good state of which, next batch may be asked for. Archives in the original are not available whose microforms or copies have been prepared.
e) The user must maintain the silence & cleanliness in the reading room; loud speaking, smoking & spitting are impermissible.
f) Due care must be given to archives; it is strictly prohibited to: make any marks or write on, or tamper with the archives; cut, disassemble, or remove individual items from the archives; or carry clandestinely archives out of the reading room.
g) In taking extracts from open archives, the user may use self-brought sheets of paper or a portable PC; in case of extraction from non-open archives, the uniform paper for this purpose must be used.
h) To copy, photocopy, scan or duplicate archives, the user must apply for approval and execution by this Archives. Extracts or copies from non-open archives must be returned to the record office of user’s unit, and not be owned or lost by the user.
i) Publication, transferring or publishing of extracts or copies from archives in any form are prohibited without the prior permission by this Archives.
j) Copies from archives, after permission by this Archives, may be quoted in research works, provided the archives holding unit will be acknowledged in the works and the relevant works or academic accomplishments will be sent in this Archives in duplicate for holding.
k) A charge will be collected for the archives service according to the standards stipulated by the Tianjin Price Bureau.
